WGSA Board of Directors
Duties and Powers of the Board
The Walkertown Girls Softball Association (WGSA) Board of Directors is responsible for the governance, management, and operation of the association. Board members work together to ensure that WGSA fulfills its mission of providing a positive, safe, and rewarding softball experience for all participants.
Board Appointments
The Board of Directors may appoint additional officers, agents, or representatives as deemed necessary to support the operation of the association. The Board may prescribe the duties and responsibilities of these positions.
Appointed officers or agents shall not have voting rights on Board actions unless they have been elected to the Board of Directors during the Annual Election or appointed by the Board to fill an official Board vacancy.

Executive Officers
President
The President shall:
- Conduct the affairs of WGSA and execute policies established by the Board of Directors.
- Present an annual report regarding the condition of WGSA.
- Communicate matters affecting the organization and recommend actions that promote its welfare.
- Ensure WGSA operates in accordance with established policies and principles.
- Designate officers, when necessary, to execute contracts and agreements previously approved by the Board.
- Investigate complaints, irregularities, and conditions detrimental to WGSA and report findings to the Board.
- Prepare and submit an annual budget with Board approval.
- Verify player eligibility with assistance from the Player Agents.
- Assist in evaluating and selecting tournament opportunities for All-Star teams.
- Assist with Community Food Booth activities.
- Verify annual filing of required 501(c)(3) documentation.
Vice President
The Vice President shall:
- Perform the duties of the President when the President is absent or unable to serve.
- Perform duties assigned by the President or Board of Directors.
- Promote awareness and education regarding player and participant safety.
- Develop training goals and organize educational opportunities for managers and coaches.
- Implement plans to improve safety of facilities, equipment, and activities.
- Coordinate all Community Food Booth activities.
- Secure supplies and equipment necessary for Community Food Booth operations.
- Oversee maintenance, storage, and repair of booth equipment.
- Maintain financial records related to Community Food Booth operations and assist the Treasurer as needed.
Secretary
The Secretary shall:
- Record activities and maintain official WGSA records.
- Maintain files, mailing lists, and organizational documents.
- Maintain lists of members, directors, and committee members.
- Provide notice of meetings.
- Record and maintain meeting minutes.
- Handle official correspondence not otherwise delegated.
- Notify members and officers of elections and appointments.
Treasurer
The Treasurer shall:
- Manage the financial affairs of WGSA.
- Receive and deposit all funds in Board-approved financial institutions.
- Maintain records of receipts and expenditures.
- Issue payments in accordance with Board-approved policies.
- Ensure dual signatures on checks exceeding $2,000.
- Prepare the annual budget with the President.
- Present accounting records and checkbook information at General Meetings.

Operations and Program Directors
Player Agents (2)
Player Agents shall:
- Maintain accurate player records and transactions.
- Review player applications and verify eligibility requirements.
- Assist with tryouts and player drafts.
- Coordinate player movement and roster management.
- Assist with All-Star selection processes and eligibility verification.
Registration Coordinator
The Registration Coordinator shall:
- Manage registration for all WGSA programs and events.
- Maintain online registration systems and schedules.
- Work with the Treasurer to track payments and refunds.
- Coordinate refund requests requiring approval from the President and Vice President.
Equipment Manager
The Equipment Manager shall:
- Obtain bids and recommendations for equipment purchases.
- Manage the distribution of equipment and supplies.
- Oversee equipment maintenance, repair, cleaning, and storage.
Field Manager
The Field Manager shall:
- Prepare playing fields for games and events.
- Line fields and maintain playing conditions.
- Set and remove bases for games and activities.
Assistant Field Manager
The Assistant Field Manager shall:
- Assist the Field Manager in maintaining fields and equipment.
- Support WGSA events, clinics, and special activities.
Events and Marketing
Activities Director
The Activities Director shall:
- Plan and coordinate Opening and Closing Ceremonies.
- Secure team sponsors and coordinate sponsorship activities.
- Manage team and player photographs.
- Distribute sponsor recognition materials.
- Coordinate concession stand operations and staffing.
Assistant Activities Director / Social Media & Marketing Director
The Assistant Activities Director shall:
- Assist with all WGSA events and activities.
- Manage fundraising activities during league events.
- Maintain WGSA social media platforms.
- Create newsletters and communications for Board approval.
- Promote sponsorship opportunities and WGSA programs through marketing efforts.

Umpire Operations
Umpire in Chief
The Umpire in Chief shall:
- Communicate local league rules to managers and coaches.
- Maintain and update local league rules.
- Recommend rule changes to the Board.
- Assign and coordinate approved umpires.
- Maintain records related to umpire compensation.
- Track postponed and rainout games.
- Communicate schedule changes with the Registration Coordinator.
- Create and manage team communication groups.
- Report concerns and issues to the President and Vice President.
